Challenge
ACA data fragmented across three sources with a mid-year administrator conversion
A Fortune 500 energy service provider engaged SBA to provide IRS reporting to comply with the Affordable Care Act (ACA). Not only was the initial year of reporting a challenge due to the need to interpret new IRS regulations, but there was added complexity due to our client’s data being pulled from three different sources.
This project was further complicated by a mid-year administrator conversion that required data to be collected, edited and consolidated from both the prior and current administrators.
Solution
Consolidating data from two administrators to produce compliant 1095 and 1094 filings
SBA delivered the following scope of services:
- Reviewed and validated data from three different sources Interpreted IRS regulations
- Received data from the prior and current administrators
- Consolidated date from the two sources
- Provided comprehensive data editing and verification
- Completed programming to reformat all files and combine data in the required format
- Produced print-ready 1095 participant file
- Coordinated fulfillment and mailing of 1095s
- Created a one-page employee communication to accompany the form
- Provided a unique toll free line for a custom call center to answer employee questions regarding their 1095
- Created all training materials for the call center, trained representatives, and supported them on calls
- Produced a transmittal 1094 form for the IRS
Results
Filing on time with a trained call center handling all employee 1095 questions
All IRS ACA reporting regulations were completed on time and within budget. Employees had a dedicated, trained service center to answer their calls reducing the load for our client’s H&W team. The client’s benefits staff was not burdened with the data challenges and reporting. This freed these resources to focus on other key areas of their jobs.
